terms & conditions

Confirmed registration is considered as agreement and bond of compliance on terms and conditions as outlined below, and establishes contractual relationship between ADIT organisers and registration holder.

 

Right of admission

  • ADIT conference is a meeting focusing on healthcare professionals CPD and CME and limited in numbers. Therefore, the organisers reserve the right of admission.

  • Registrations to ADIT 2023 are limited to the maximum of 450 participants.

  • Registrations available for industry members of staff are limited and subject to acceptance of ADIT organisers.

  • Only registered conference participants can enter the conference area and attend the sessions and other ADIT events. The conference badge is a pass to enter the conference area, attend the sessions and events.

  • Entrance without a badge will not be allowed. Therefore, all participants must wear their badges at all times throughout the conference.

  • ADIT staff can ask for proof of identity to any participant and deny entrance to a person not wearing a badge or failing to provide a valid proof of identity.

  • Organisers will deny entrance to the person wearing false or borrowed badge and revoke further access to the premises for the actual badge holder.

  • The Organisers reserve the right to exclude access or remove anyone who does not comply with this policy.

Photo disclaimer

  • Only approved conference photographers may take photographs and filming videos at the conference. Anyone attending the conference consents to such photography and filming without compensation and confirms that the Organisers may use these photographs and videos, which may include photographs and videos of visitors, to market the conference, for exploitation in all media, without liability.

  • Organisers will not allow photography or filming of third parties at ADIT 2023 conference without the prior written approval.

  • By entering the meeting area or any other place pertaining to ADIT 2023 conference, the entry constitutes the consent to the provisions stated above. Whoever does not agree to the foregoing, should not enter the area.

  • All the photographies taken at premises of ADIT 2023 conference are free to use for private purpose, providing that they will not violate privacy of other people. However, anydistribution for public or business use must be pre authorised by ADIT organisers.


Certificate of Attendance

Certificate of attendance will be distributed in digital form via email based on written request by registrant to ADIT Secretariat (info@adit-conf.org) after the conference ends. Please note that the certificate of Attendance cannot replace the CME Certificate.

Language

Official language of the ADIT Conference is English. All the materials and presentations will be prepared and conducted in English language only. Organizers will arrange simultaneous translation to Turkish language if more than 100 attendees from Turkey will register for the conference.


Scientific program

The organizer will make all efforts to adhere to the scientific program advertised. However, the organizer reserve the right to alter, replace or cancel, without prior notice, any of the speakers or arrangements announced, provided that the overall character of the event remains unaffected.


Force majeure - cancellation of the meeting

  • The organizer reserves the right to cancel the conference in whole or in part if the performance of the same is impossible due to force majeure or other unforeseen incidents outside its responsibility including, without limitation, strike, lock-out, natural disasters, terrorism, riots, war, disorder, and acts of public authorities. The organizer will inform the attendees to that effect immediately.

  • In this case, the organizer cannot be held liable by the attendee for any damages, costs, or losses incurred, such as transportation, accommodation, costs for additional orders, financial losses, etc.

  • Under these circumstances, the organizer may refund the registration fee. The organizer reserves the right to deduct any costs from the registration fee which have already been incurred for the organization of the conference and which cannot be recovered from third parties.

Safety, liability and insurance

Conference organizers do not accept any liability or responsibility for stolen or lost personal belongings. Conference organizers do not take any responsibilities or liability whatsoever for injuries or damages involving person or property during the Conference caused by individual or thirds parties negligence or fault.

 

Data protection

ADIT official PCO company AMATIS d.o.o. will collect and store all personal data for the preparation and execution of the ADIT conference. Your data will may be passed onto any third party for execution of the conference purpose only (eg. Hotel, printing house).

 

Applicable Law

Slovenian law applies. The application of the United Nations Convention on Contracts for the International Sale of Goods (CISG) is excluded. The court is Ljubljana, Slovenia.

 

Handling Charges

Universal handling fee is 30 Euros.

Unlimited name changes are free of charge until 30 days before the conference start, if done by attendee using the online system. Afterwards, each name change will be subject to handling fee charge regardless of the method.
Any input and change of registration or housing record through and by ADIT secretariat is
subject to the handling fee charge.

 

Refunds

The guest must submit refund claims in writing to the email: info@adti-conf.org.
All refunds are subject to handling fee charges and respective bank fees.
We will process refund claims made within 45 days before the conference after the meeting ends.
 

Methods of payment

The payment currency is Euro. Payment can be made by:

  • Invoice / Bank transfer

  • Credit Card 

Bank charges are the sole responsibility of the paying party.
After April 15th, 2023 we will not accept Bank transfer payments for new booking.

Accommodation terms

Only attendees registered for ADIT can book accommodation using the online system.
The confirmation email indicates that the booking is confirmed but subject to cancelation without prior notice if not paid in due time.
New bookings are subject to availability and price change if booked again.
A fixed handling fee for a stay reduction is 40 € per room until March 22nd, 2023.
No-shows are not refundable.

Accommodation cancellation terms

  • By February 22, 2023: Full Refund minus handling fee

  • By March 22, 2023: 50% Refund minus handling fee

  • After March 22, 2023: No Refund

  • Reduction of stay after March 22nd, 2023 : No refund

 

Registration

  • Attendees can register and modify the records online until March 22, 2023.

  • System-generated mail indicates a registration hold until the registration becomes effective and confirmed when the payment is finalized.

  • The registrations not paid in due time will be erased or considered “pending” and subject to an increase in registration fee level where applicable.

  • Final confirmation, including the barcode, will be sent to fully paid registration holders seven days before the conference.

  • Printed confirmations with barcodes and proper ID documents are required to collect conference materials and badges.

  • It is the sole responsibility of the attendee or group holder to provide correct data and unique and personal email addresses.

  • The registration fees do not include the insurance of participants against accidents, sickness, cancellation, theft, property loss, or damage. Participants are advised to take out adequate personal travel insurance.
     

Registration rate includes:

 

  • Entrance to all scientific Sessions and Meeting area during official hours

  • Coffee breaks and lunches as indicated in the program

  • Conference materials

  • Welcome ceremony and reception

  • VAT

 

Registration cancellation terms

  • By February 22, 2023: Full Refund minus handling fee

  • By March 22, 2023: 30% Refund minus handling fee

  • After March 22, 2023: No Refund
